Back up your workspace

Get a complete copy of your workspace's data and files as a ZIP file. Only the workspace owner can request and download it.

A backup is a snapshot of your entire workspace: tasks and comments, documents, forms, conversations, goals, automations, settings and every uploaded file, all in one ZIP file.

This file is designed for archiving outside Taskie, handing data over to your legal or security team, and making sure you have an independent copy of your information.

Who can create a backup

Only the workspace owner. Not even admins or custom roles with full access can create a backup or download its file, because a backup file effectively holds all of the workspace's information in one place.

Plan required: Backups are available on the Business plan (one request every seven days) and the Business Plus plan (three requests every seven days).

Create a backup

  1. Go to workspace settings and, under Maintenance, open the Backups tab.
  2. Click Request a new backup.
  3. If you don't select anything, a full backup of every section and every project is created.
  4. If you need to, you can select only a few sections (for example tasks and documents) or only a few projects.
  5. The Include files toggle decides whether attachments and images are also included in the ZIP file.
  6. Click Start backup. The file is built in the background, so you don't need to keep the page open.

A progress bar shows how the build is going, and when the file is ready, the person who requested it gets an in-app notification and an email.

Downloading and how long backups last

The download button sits next to each ready row. The download link is short-lived and generated on the spot, so it can't be shared, and you need to download from this page each time. Every download is recorded in the workspace activity log.

Each backup file is kept for seven days and then deleted automatically, whether or not you've downloaded it. Store a copy somewhere safe before that deadline.

What's in the ZIP file

  • A manifest.json file with a complete list of the contents, row counts and the schema version.
  • One file per data type in JSON Lines format (one row per line), with relationships between rows kept through IDs.
  • A files folder with every attachment, image and uploaded file.
  • Deleted rows are included too, with their deletion date. When something is deleted by mistake, these are exactly the rows that matter most.

What isn't in the backup

Payment and subscription information, passwords and keys for connections to other services, security logs and AI assistant data are deliberately left out. The full list of these items, with the reason for each, is written in the same manifest.json file.

Note: If building the file fails, it doesn't count against your weekly quota, and you can request another one right away. Only one backup can be in progress per workspace at any time.
