Extract tasks from meeting notes
Write your meeting notes in a document and let AI extract the action items as reviewable tasks and create them in your project.
Every meeting usually leaves behind a list of things to do: "Someone prepares the report", "Finalize the design by next week", and so on. Turning these notes into separate tasks by hand takes time, and some items are likely to slip through. Extracting tasks from meeting notes automates exactly that.
You write your meeting notes in a Taskie document as usual. Then, with one command, AI reads the text and shows a list of suggested tasks. Nothing is created without your approval: you review and edit the suggestions, and add only the ones you want to the project.
Who is this feature for?
Extracting tasks from notes works in documents and suits project managers and teams who hold regular meetings and want to turn meeting outcomes into actionable work. It's available on the Ultimate plan and above. If your workspace isn't on this plan, the extract option doesn't appear in documents. Running an extraction also uses the workspace's weekly AI credits.

Two ways to start an extraction
Depending on whether you want the whole note processed or just part of it, you have two options:

- The whole document with a slash command: type "/" in the document and choose Extract tasks to process all the notes on the page.
- A selected section from the toolbar: select part of the text to open the floating toolbar, then click Extract tasks so only that part is reviewed.
Extract and review, step by step

- Choose one of the two options above to start the extraction.
- The Extract tasks from notes window opens and shows a loading state until the suggestions are ready.
- Go through the list of suggested tasks. Each item's title, description, priority, due date, and assignee can be edited.
- Uncheck the items you don't want to create. To see the original text, you can open the Source text section.
- Choose the destination project. If you're extracting from a project's document, the project is already set.
- Click Create … tasks. The tasks are created and a success message appears.
What does AI suggest?
For each suggested task, AI tries to infer several fields from the text so you have less to do:
- Title and description: a short title for the work and, if needed, an additional description.
- Priority and due date: if the notes mention urgency or a date, a priority and due date are suggested.
- Suggested assignee: if a project member's name appears in the text and exactly one person matches it, that person is suggested. Otherwise, you choose the assignee yourself.
- Source link: the description of each created task includes a link back to the document so you always know which meeting the work came from.
Tips and limits
- Very long text isn't processed in full. This feature works best on focused notes (a few thousand characters), so it's best to keep each meeting on its own page.
- If no actionable work is found in the text, the message "No tasks were found in this text." is shown.
- If the weekly AI credits have run out or the plan isn't eligible, the extraction doesn't run and a message explains why.
- Tasks are created only after you approve them. Until you click the create button, nothing is added to the project.
Tip: The clearer your notes are, with people's names, dates, and clear verbs such as "prepare" or "send", the more accurate the suggestions will be.
