Online meeting rooms on tasks

Create a Zoom, Google Meet, or Jitsi meeting link on any task with one click, or attach an existing link. The link is announced in the project channel and shows on your calendar.

For any work that needs a live conversation, such as a design review, a project kickoff, or a client call, you no longer need to leave Taskie, create a room in another app, and paste the link somewhere by hand. Create a meeting room on the task itself so the link stays right next to the work.

This feature is available on the Pro plan and above. If you don't see the meeting option, ask your workspace admin to check the subscription plan.

Create a meeting room

  1. Open the task.
  2. From the task's actions menu, choose the meeting option.
  3. Choose the service you want: Jitsi, Zoom, or Google Meet.
  4. The room is created and its link is added to the task. With the join button, every member can go straight in.

Which service should I choose?

  • Jitsi: no account and no setup needed. It works for every workspace from day one. The room is created at a random, unguessable address. Good for quick, internal meetings.
  • Zoom: requires connecting a Zoom account in the App Center. The meeting is created in your own Zoom account, so that account's features, recording, and limits apply.
  • Google Meet: requires connecting a Google account, and the meeting is created in your Google Calendar.

About Jitsi room security: Because a Jitsi room has no password, anyone with the link can join. If the link leaks outside your team, remove the current link and create a new room.

Attach an existing link

If you've created a meeting somewhere else (for example, your organization's office sent you the link), you can attach that address to the task so it stays with the work and also shows on your calendar. In this case Taskie only keeps the link and doesn't create a room.

Announce automatically in the project channel

You can build an automation that creates a meeting link on its own when certain conditions are met and announces it in the project channel. For example: "When a task moves to the Ready for review status, create a meeting room and announce it in the team channel."

  1. Go to the project settings and open the automation section.
  2. Create a new automation and choose the trigger you want.
  3. Under actions, choose Create meeting link, then pick the service and the destination channel.

Meetings on your calendar

If you've connected your Taskie calendar to your phone's calendar or Google Calendar, the meeting link is saved as the event's location. That means when the meeting starts, you can tap the link right from your phone's calendar notification and join. The setup guide is in Calendar sync.

Remove a meeting

When you remove the link from the task, the room is also closed in the source service. If you move the task to the trash, the room stays open, because that action can be undone. But when the task is permanently deleted, the room is closed too.

Frequently asked questions

  • Can people outside Taskie join? Yes. You can send the meeting link to anyone. Join restrictions are those of the service you chose.
  • Why is the Zoom option grayed out? It means a Zoom account isn't connected to the workspace yet. You connect it from the App Center.
  • Can a task have more than one meeting? Each task has one active meeting link. For the next meeting, remove the previous link and create a new one.
  • Where are meeting recordings saved? In the service where the meeting took place. Taskie doesn't keep recordings.
